It is important to note that by making bookings you have signalled that you have read and will abide by these Terms and Conditions.
Bookings and Registration:
- We have a licensed maximum capacity of 50 children per site across all of our programmes.
- All bookings are to be done via the online booking system at ymca-south.aimyplus.com . Support making a booking can be found onsite or at 77 Tay Street. No bookings will be accepted via text or email.
- Your booking is not confirmed until you have received the confirmation email. If you have not received the email and arrive onsite, you may be turned away by staff.
- All bookings will be reviewed and responded to within 24 hours Monday to Friday, and as soon as possible after 4 pm Friday.
- Bookings must be received by 5PM Thursday for the following week. This is to allow for staff rostering to take place. Any bookings received after this time will be accepted at the discretion of the OSCAR Team Leader.
- If a booking/enrolment is to be cancelled, we may require 5 days’ notice in writing or by email. If you cancel a booking before the start of the week, there is no charge. For any bookings cancelled during the same week, the full price of the session will be charged.
Signing In/Out:
- Sign In will be undertaken by our drivers and/or Site Staff as children arrive at the programme.
- The parent/caregiver must sign the child/ren out of the programme. The YMCA is not responsible for children once they have been signed out.
- Should you wish your child to leave the programme without being signed out by a parent (e.g. you would like them to walk to your work) then you will need to apply in writing to the Y-Juniors Team Leader, stating the address the child will be going to and the intended route. Acceptance of this request is entirely at the discretion of the Y-Juniors Team Leader or The Y Senior Management.
- As children cannot be released to an unauthorized person it is critical that you the parent keep the Approved Pick Up List up to date in Aimy+.
- A penalty fee for late pick up of $10 per child for an extra 10 minutes or part thereof and an additional $1 for every minute after that may be charged to cover extra time of care.
Absences:
- The Team Leader or Site Supervisor must be notified of any absences ASAP.
- If an absence is not advised there may be an extra charge of a non-notification fee of $15 per child to cover the inconvenience caused to locate the child.
Payment and Charges:
- Payments can be made by EFTPOS or cash at 77 Tay Street, or through internet banking:

- All enrolled days will be charged for, including notified absences.
- If an absence is not advised there may be an extra charge of a non-notification fee as described above.

- If your account has not been settled or discussed with the Accounts Administer for more than 3 weeks, it is classed as overdue. If your account is overdue and requires debt collection, you the client will be liable for all legal collection charges necessary to recover this amount.

Transport:
- Vehicle transport to and from activities will be in The Y registered vehicles.
- All drivers will have a current police check, be over the age of 18 and hold a full New Zealand license.
Privacy Statement:
- We are collecting personal information on this site for the purposes of providing out of school care for your child.
- We will use and disclose this information in accordance with the Privacy Act 2020. Under this act you have the right to access and request correction of any personal information we hold about your child.
- Under Section 66c of the Oranga Tamariki Act 1989 we may be asked by an approved agency (such as Ministry of Social Development or the New Zealand Police) or individual (such as a Doctor or Social Worker) about any information we may hold on your child or whanau. We will inform you of any such request if and when it is made.
- Details about your child’s identity will be shared with the Ministry of Social Development to aid research, statistics, and funding.
Media Release and Consent:
- It is important that YMCA Invercargill Charitable Trust and its services are able to show the great work that we do in our community. As a part of doing this, we want to be able to use photographs, video footage or audio segments (referred to as media materials) of people involved in our programmes or services. These photos, videos or audio are used in providing reports to funders and in our promotional material.
- We ask that people provide us with permission to use photographs, video and audio taken while participating in our services. We only request permission to use this media material in our reporting to funders or our promotional material - such as the website or printed documents (news, updates, and event promotions). If you are happy for us to do this, please click “Yes” for Photo tagging of your child.
- If for any reason you do NOT want us to collect or use this material, then please select “No” on the photo tagging option.
- You are free to change your mind about at any point, all you have to do is change your selection in the child’s profile page.
WINZ Subsidies:
- All Y-Juniors Programmes are eligible for the WINZ Child Care Subsidy Scheme.

Health and Safety/Policies and Procedures:
- This Y-Juniors Programme has been approved under the Oranga Tamariki OSCAR Standards. All care will be taken to provide a safe and well supervised environment for children attending the programme, in accordance with these standards.
- The Y expects all children to demonstrate respect for Staff and each other, as well as property and our community at all times. Instructions will be given for the purpose of keeping your child/ren safe, and it is a requirement that these be followed. If your child acts in a way that is consistently inappropriate, or seriously risks the safety of others you will be contacted. If it continues to happen, then there may be discussions with you as whanau and Y-Juniors Staff as to what steps come next, or (in serious circumstances) whether or not it is appropriate for your child to continue attending our programme.
- The Y-Juniors are not able to support or take on sick or unwell children. Should your child present to the programme as unwell you will be contacted. If you are unable to be reached we will call all of the emergency contacts listed until someone is found to collet the child. In the event of a serious illness or injury an ambulance will be called. Any costs associated with this will be the responsibility of the parent/caregiver.
- Although accidents do happen The Y will not be liable for accidents or loss/damage to property. For this reason we strongly discourage children from bringing electronics to any Y-Juniors programme.
- A copy of OSCAR policies and procedures and Code of Conduct are available on all sites for viewing. These documents include our Operating Procedures and Child Protection Policy. If you would like to speak to someone about any of our policies or procedures please ring 218 2989 ext. 5
Holiday Programme Activities:
- We aim to follow the advertised programme at all times and advise parents as soon as reasonably practible of any major changes to that programme.
- Please understand that if we must make changes without notice for any reason, there will be no refund for there being a difference to the advertised programme.
